Questions airports ask us first
From fire officers, aerodrome managers, safety leads and IT reviewers, with plain answers.
Does Escudo Ready issue NOTAMs or decide our category?
No. Escudo Ready records and routes: it does not certify airworthiness, issue NOTAMs or replace your procedures. The category board is a calculation from the records your people enter and the rules table you confirm. Declaring the category and raising a NOTAM stay with your service, through your procedures. Escudo Ready has a place to record the NOTAM reference against the event once you have it.
Does it work out our category?
It calculates it. The board takes every counted appliance’s latest agent check (water, foam and complementary agent), its discharge rate and the number of appliances, and compares them with the station’s rules table and foam level, A, B or C. It shows the highest category still met and why. Declaring the category stays with you. The category board.
Which rules tables does it use?
Rules tables for the ICAO default, Australia (the CASA Part 139H rules), New Zealand and Papua New Guinea. The category figures in each start from the ICAO Annex 14 values, and you confirm them against your own procedures; the New Zealand and Papua New Guinea tables are marked to confirm. Other markets use the ICAO default. If your authority’s figures differ, we set up a table with them. Australia’s table covers performance levels A, B and C, reserves, a 15-minute coverage window and 90-day competencies, with the record types and how long each is kept. Each station chooses the table for its jurisdiction, and you confirm the figures before the board is used. ARFF Ready.
Does the crew count towards the category?
If you switch the station’s crew rule on. Each appliance has riding positions (officer in charge, driver, monitor operator, crew), each with the competencies it needs. A supervisor signs each person on and off on the dashboard, one position at a time, and an appliance counts only while every required position is filled by someone current. The board says which position is short. Crew to category.
How are foam tests handled?
Induction (proportioning) and acceptance tests are recorded against the appliance, and laboratory results against the foam lot. A failed appliance test raises a major defect, so the appliance is restricted until it is repaired and retested. A failed laboratory result quarantines the lot. You are alerted when an appliance’s induction test is more than a year old, when a lot is near expiry and when a laboratory sample is due. Foam and agents.
Can we record foam discharges and decontamination?
Yes. The discharge register keeps every discharge, for training, a test, an incident or by accident, with the volume, location, how it was captured and the disposal reference, and foam used at an incident is added from the incident report. A decontamination record, for example on a change to fluorine-free foam, keeps the volume drained, disposal, method, rinse cycles and samples before and after, and the appliance stays out of service until a supervisor clears it.
What happens when the category is reduced?
The board shows the reduced category, an event opens with the time, the cause and the person, the supervisors are alerted in the dashboard, and a timer starts. If the alert is not acknowledged it escalates from supervisor to manager to administrator. Your people record the NOTAM reference against the event. When the category is restored, the event closes.
Does it raise NOTAMs?
No. Your people raise the NOTAM through your own process. Escudo Ready records the NOTAM reference against the category event, and against a planned reduction entered in advance, so the record shows both together. It does not draft or send a NOTAM.
Do alerts come by SMS, push or email?
Not yet. Alerts appear in the dashboard and escalate there. Push notifications, SMS and email are in development. Roadmap.
Does it work with no signal?
It is built to. The crew app keeps the vehicles, zones, tags and templates it needs on the device. Finished checks, photos and defects wait there and send when signal returns. Each record carries an id made on the device, so sending twice never makes a duplicate. We will prove it on your devices and at your sites before you rely on it.
What tags does it use?
QR tags, printed on labels and fixed at each check point: an appliance cab, a pump panel, the station board, an inspection zone. NFC and BLE tags are in development.
Will the checks follow our own procedures?
Yes. Templates start from a representative catalogue. Your service validates each one, changes it to its own procedure and wording, and publishes it. A template stays a draft, and cannot be used for a check, until you publish it.
Can a completed record be changed?
Not quietly. Each submitted check is sealed about an hour after it arrives, with a SHA-256 hash chained to the previous check for the same asset, so a changed answer breaks the chain. Other records, such as defects, incidents, foam tests and drills, are not sealed, and the append-only audit log shows who changed them and when. On request, we correct a check as a new version and keep the original. Security and data.
Will it get us through an audit?
No product can promise that, and we do not. Escudo Aviation keeps records that are organised for an audit and support the evidence your auditor asks for. It holds no approval from any regulator or standards body, and nothing on this site is legal or regulatory advice.
What can we export?
The ARFF readiness pack (category events and planned reductions with NOTAM references, drills, checks with the agent recorded, defects with photos, credentials, incidents, foam tests, discharges, decontaminations, competency validations and agent stock) and the aerodrome pack (inspections, findings and defects), for any date range, printed or as CSV files with a SHA-256 manifest.
Where is our data stored?
Every record and every photo is stored in Sydney, Australia, for customers in every country we serve. The dashboard runs in Sydney too. Regions and data.
Which countries do you serve?
Australia, New Zealand, Papua New Guinea, the Pacific Islands, Singapore, Malaysia and Hong Kong. If your rules require data held in your own country, talk to us first.
Can pilots use it for aircraft walk-arounds?
Yes. Pre-flight, turnaround, final and arrival walk-arounds by aircraft type, and the pilot-performed daily inspection, are in the catalogue: you copy one in as a draft, change it to your own procedures and publish it. Each item’s photo is taken from the viewpoint the template names, and the check is sealed. A finding needs a tech log reference or a deferral, and the aircraft record board shows your records, never the aircraft: release to service and deferral decisions stay with authorised persons in the technical log. The aircraft walkthrough.
Does GSE Ready say our ground equipment is fit to use?
No. It records pre-use checks, statutory items and certificates, contacts, airside vehicle permits, driving authorities and airport defect notices, and works out from them which units are locked out and whether there are enough for the turns ahead. It never approves a lifting device, never declares a unit fit for aircraft work and never says a permit or authority holds beyond the dates and areas recorded. Your operators and supervisors decide. GSE Ready.
Does it say our fuel is fit to use?
No. It records the fuel quality checks your people make on refuellers, hydrant dispensers, fuel farms and drums, and a critical fail takes the unit or site out of service until the defect is closed. Escudo never certifies fuel or approves its release, and never replaces your own procedures or the JIG or EI standards you work to. The limits in each check are yours.
What does it cost?
ARFF Ready is A$150 per ARFF vehicle per month. Aerodrome is about A$6,000 to A$25,000 per aerodrome per year, depending on size. GSE Ready is A$10 per unit per month. Aircraft records are A$25 per aircraft per month for general aviation, charter and HEMS, and A$45 for airline aircraft. Fuel quality checks are A$1,500 per fuel site per year. Prices in AUD, ex GST.
