Where is our data stored?

Every record and every photo is stored in Sydney, Australia (AWS ap-southeast-2), for customers in every country we serve. The dashboard also runs in Sydney.

Security and data

Does it work with no signal?

Yes. The crew app keeps the vehicles, tags and checks it needs on the phone. Finished checks, defects and photos wait on the phone and send when signal returns. Each record carries an id made on the phone, so sending twice never makes a duplicate and nothing is lost.

Can volunteers use their own phones?

Yes, on iPhone or Android. A volunteer signs in, scans the tag and does the check. On a shared station phone, one person’s unsent work is never sent under someone else’s name.

Can our officers sign in with Microsoft?

Yes. The dashboard supports Microsoft sign-in for officers, fleet managers and administrators. Crew sign in to the app with their email and password.

Will the checks use our procedure and our wording?

Yes. Templates are built from your procedure, in your words. We provide 405 starter templates across eight services to begin from: 56 for fire and rescue, 44 for the State Emergency Service, 8 for surf life saving, 40 for police, 32 for marine rescue, 56 for ambulance and patient transport, 37 for aviation rescue and fire fighting, and 132 for mine and industrial emergency response, including mining plant. Where an item needs a limit, such as a pressure or a tread depth, you set it: we never invent one.

Checks and forms

What happens when something fails?

The vehicle status changes the moment the check is submitted, restricted or off run as you decided for that item. The defect is raised with its photo, officers are alerted, and the vehicle stays that way until a named person clears it and signs.

Can we get all our data out?

Yes, at any time. Every kind of record exports as a spreadsheet, and the whole organisation exports in one download: vehicles, checks and every answer, defects, work orders, equipment, readings, people and the audit log.

What happens if we leave?

The records are yours. Export everything before you go. We delete your organisation’s records when you ask, except anything the law requires us to keep.

Who can see our records?

Only people in your organisation, according to the roles you give them. Separation between organisations is enforced in the database itself and tested before each release. Our staff see your records only with your permission, to help you.

Is Escudo Emergency certified or approved by a regulator?

No, and we do not claim to be. Escudo Emergency keeps the record your procedures and obligations call for; your agency decides what those procedures require. An independent security review and penetration test have been completed.

Does it replace our maintenance system?

No. It is where crews find faults and officers clear them. Defects and work orders export cleanly for the maintenance system you already run, and integrations with maintenance and telematics systems are on our roadmap.

Can we start with one station?

Yes. Most agencies start with one station or brigade: we install starter templates for its vehicles, you adjust them to your procedure, print the QR tags and invite the crew.
