From the first hour to the auditor pack.

Ten films. Four follow a driver’s pre-start on a truck, a bus, a van and at the bowser; six follow one business from sign up to its records. The driver’s phone and the dashboard play together, chapter by chapter.

Film 3 of 10: Bus and coach

Door 1 on route bus B07 fails its obstruction test at 05:06. Mia reports it, B07 goes off road on the depot board, and it stays there until the repair is signed off.

In this filmBus and coach

Door 1 on bus B07 closes on Mia’s test bar and does not reopen. The bus comes off road before a passenger boards.

  1. 05:02, a slow door. 05:02 at the Northern depot. Mia Delaney scans route bus B07 before the first run. The late shift’s handover says door 1 felt slow to close. Mia will test it properly. One tap starts the guided walkaround. B07 is due today on the depot board.
  2. Round the bus. B07 is walked as whole sides: front, kerb side with the doors, rear, driver side, then inside. Each framed photo is stamped on the phone with the time, place and heading. In the office, the photos are filed by position: B07 as Mia found it.
  3. Door 1 fails the test. Inside, Mia closes door 1 on the test bar. It should stop and reopen. It does not. Exits, hammers and the ramp pass, each with a photo where the template asks. Critical: the app tells Mia that B07 goes off road when this is sent.
  4. The rest still gets done. The walkaround carries on. Headlights and hazards on, photographed running. Lights, indicators, signs and the reversing alarm all pass. Every result lands in the check record, with the photo beside it.
  5. Reported as critical. Mia photographs door 1 and reports it as critical: it closed on the test bar twice. The supervisor has it on the defect board, with the photo, before Mia is back in the seat.
  6. Off road until it is fixed. Mia submits the walkaround: 41 passed, one critical fault. The depot has no signal. The check waits on the phone and sends itself when it can. B07 turns Off road on the board. It stays off road until the repair is signed off. The supervisor raises a work order for the door.

Illustrated from the real driver app and dashboard. Results reach the dashboard when the driver submits, straight away with signal or later without it. Alerts and the weekly digest are on the dashboard; invitation links are sent by the owner. Escudo never decides whether an incident must be reported, makes no finding about a vehicle or the records, and does not state that anyone meets NHVAS. Limits, items, prices and wording are set by each fleet. Priya, Sione, Mia, Linh, Tama, Ben and everyone else, Harbour City Logistics, the Northern bus depot and every vehicle are invented.

What drivers can check

Every item your pre-start needs, checked the way it should be.

Templates are built from these item types. Each result is kept with the limit and template version it was checked against.

Pass or fail

A plain check. A fail can restrict the vehicle or take it off road, as you decide. Items marked safety critical, such as brakes, steering, tyres and couplings, can never be deferred.

  • Brake warning lights go out after startfail: off road
  • Passenger door stops on an obstructionfail: off road
  • Marker lights intactfail: restricted

Readings with limits

A number checked against the minimum, maximum or range you set. We never invent a limit.

  • Air pressure after build-upkPa
  • Cargo temperature at start°C
  • Lowest tyre tread depthmm

Fuel level

The gauge read in eighths at every pre-start and at both ends of every trip, so fuel used and fuel lost show up.

  • Pre-startE to F
  • Trip start and endE to F
  • Electric vehiclescharge %

Odometer and hour meter

Photographed and read. Never allowed to go backwards, and a big jump is flagged. Forklifts and plant read the hour meter.

  • Trucks, buses, vanskm
  • Forklifts, EWPs, planth

Tyres

On a guided walkaround, a framed photo of every tyre, duals included, with tread depth and pressure against your limits.

  • Tread depthmm
  • PressurekPa
  • Sidewall conditionpass or fail

Compliance dates

Expiry dates checked on the vehicle, with a warning before they lapse.

  • Registrationdate
  • Fire extinguisher service tagdate
  • First aid kitdate

Framed walkaround photos

On a guided walkaround, a shadowed outline for every stop, live camera only, each photo stamped with time, place and heading.

  • Truck and trailer7 positions
  • Bus4 sides + interior
  • Van or ute6 positions

Defects

A photo and a severity that sets the vehicle status. Supervisors defer, repair and clear with a signature.

  • Criticaloff road
  • Majorrestricted
  • Minorno change

Fill-ups and receipts

Litres, cost and odometer at the bowser, with one photo of the pump or the receipt on the live camera, stamped with time and place.

  • Fill-uplitres, $, km
  • Receiptphoto

The truck and bus templates are built around the NHVAS daily check minimum items. Each is published straight away and can be changed to your own items and wording. Limits are never set for you.

The NHVAS and HVA records

  • Quarterly maintenance statement. Daily pre-starts done and missed, days driven unchecked, faults repaired and outstanding, defect notices, and services done on time, late or missed, per vehicle.
  • Non-conformances. What was found, the corrective action, who and by when, closed with how it was checked and a signature. Offered by the statement, a review or an incident, never raised on its own.
  • Internal reviews. Quarterly and annual reviews with the period, the reviewer and how independent they were, the findings, and the reviewer’s signature.
  • Responsibilities. Who holds each maintenance task and their deputy, with dates. A change ends the old line, so the history stays.
  • Procedures. Each procedure with its versions and reviews. Drivers read it in the app and tap “I have read this”, and a new version asks again.
  • Workshops and mechanics. Qualifications with their number, expiry and evidence, picked on each work order, with an alert 30 days before one runs out.
  • Auditor pack. The chosen vehicles and dates under the NHVAS maintenance standards headings, printed or downloaded with a SHA-256 fingerprint.
  • Shared links. Roadside links for one vehicle for a few hours and auditor links for chosen vehicles and dates, read-only, logged at every opening and revocable.

They record what you did and decided. They do not state that you meet NHVAS, Heavy Vehicle Accreditation or any other scheme: your auditor decides that.
