Why it matters for health services

In Victoria, non-emergency patient transport providers must keep an infection control plan with a vehicle cleaning plan, and a maintenance schedule for each vehicle, the medical equipment it carries and ancillary equipment such as the stretcher. Maintenance and repair records are kept for the life of the vehicle or equipment and shown to the Department of Health on request.

A vehicle is a workplace under the WHS Act. Staff who drive to home visits, couriers who carry specimens and porters on the loading dock all rely on the vehicle or machine being checked before use.

Specimens and medicines travel within the temperature range the laboratory or pharmacy sets. A reading taken at the start of the run, with a photo of the display, is the record you can show.

Escudo Fleet records what was checked, cleaned and fixed, by whom and when. Your own plan decides what must be done; the record shows that it was.

Fuel

The fuel angle

Pool cars and home care cars are where fuel cards go astray. Every fill-up is tied to a car and a person, and fills on a car that was not driven are flagged.

Consumption per vehicle by month, with alerts for a fill over the tank, no distance since the last fill, and fills outside your hours.

Electric cars and vans record the battery charge at the start of each shift instead of a fuel level.

Records

What is kept

  • Pre-start per vehicle with the person identified, date and time stamped
  • A clean between patients, with what was done and who signed
  • Defects with photos, who cleared them and when, kept on the vehicle’s record while your account is open
  • Equipment register for stretchers, oxygen, suction and defibrillators with test dates
  • Export by vehicle or by service for an audit or the Department of Health

Every record is kept while your account is open. Everything exports as PDF or spreadsheet, and the record is yours.
